Job Summary:
We are seeking an entry level paralegal to join our Legal Department. The ideal candidate will be detail-oriented and possess excellent grammar and proofreading ability, with an understanding of real estate transactions and documentation a plus. This position fulfills a variety of support functions to ensure the efficient operation of the department. The applicant will have the opportunity to work on sophisticated matters in a collegial environment.
Responsibilities:
- Documentation: Prepare, edit and process transactional documents, including contracts, leases, closing documents, abstracts, and other project-related documents. Prepare and file corporate and court-related documents.
- Project Coordination: Coordinate project-related activities such as assisting in project documentation and reporting, tracking deadlines, and maintaining project files.
- Data Management: Maintain and update departmental files, reports, databases, spreadsheets, and electronic filing systems. Ensure accuracy and completeness of data.
- Administrative Support: Assist in day-to-day administrative tasks such as managing correspondence, maintaining departmental records, preparing reports, and scheduling meetings.
- Communication: Serve as a point of contact for internal and external communications pertaining to the legal department. This includes fielding phone calls, responding to inquiries, and liaising with other departments or external partners.
- Compliance: Ensure compliance with company policies and procedures, as well as regulatory requirements related to the preparation and filing of corporate documents and reports.
- Financial Administration: Assist in processing departmental invoices, and credit card statements and expense reports for the General Counsel and Associate General Counsel.
- Logistics Support: Assist in coordination of travel plans for the General Counsel and Associate General Counsel.
Requirements:
- Proficiency in MS Office (MS Word, MS Excel, and Outlook) and calendaring.
- Excellent time management skills and the ability to prioritize work.
- Aptitude for technology and organization of documents, and willingness to learn.
- Excellent grammar, proofreading ability and strong attention to accuracy and detail.
- Positive approach and the ability to work well in a team environment, with exceptional interpersonal and written and verbal communication skills.
- Superior problem-solving skills and the ability to work in a fast-paced environment.
- Confidentiality, dependability, and respect.
Working Conditions:
- This position operates in an office environment.
- Prolonged periods of working at a desk and on a computer.
- Regular working hours are 8:30-5:00, Monday to Friday, with occasional overtime as needed to meet deadlines or support project needs. Hybrid schedule, as approved by the department manager, may be available after 90 days of employment.
