AP Specialist

This is a full-time position in our Accounting Department. This position reports to Operations Manager. This position is eligible for benefits including medical, dental, vision, 401K

 

Key Responsibilities:

  1. Payables Management:
    • Oversee loan balances, recurring payments, and mortgage files.
    • Process wires/ACH transactions and checks.
    • Maintain AP calendar and prepare monthly reconciliation schedules.
    • Manage vendor setup and updates.
    • Submit checks to banks via Positive Pay.
    • Set up and maintain auto payments
  2. 1099 Process:
    • Maintain vendor database and prepare 1099/1096 forms.
    • Submit forms to the IRS and vendors.
    • Keep 1099 payment records updated.
  3. Nexus System Management:
    • Index and code invoices.
    • Notify approvers and resolve invoice issues.
    • Submit support tickets for system issues and review vendor statements.
  4. Credit Card Processing:
    • Manage WellsOne credit card expenses and reimbursements.
    • Verify, upload, and code statements.
    • Train employees on credit card procedures.
  5. Cash Management:
    • Update daily and monthly cash sheets.
    • Maintain LOC usage and manage bank account setups.
    • Reconcile cash balances and explain variances.
  6. Property Taxes:
    • Oversee property tax payments, accruals, and tenant billing.
    • Update property tax worksheets and maintain records.
    • Provide legal teams with proration details.
  7. Miscellaneous Duties:
    • Assist the accounting team and handle journal entries.
    • Manage GL account setups and budget yearly expenses.
    • Process trust transfers and maintain department checklists.

Qualifications

  • Accounting degree or equivalent experience.
  • Knowledge of real estate development or property management accounting (preferred).
  • Proficiency in Excel and accounting software.
